Association’s Mission:

California Primary Care Association's (CPCA's) mission is to lead and position community clinics, health centers and networks through advocacy, education, and services as key players in the health care delivery system to improve the health status of their communities.

Purpose of Position:

Provide administrative support to the Civic Engagement and Community Affairs (CECA) and Operations departments and staff to ensure effective and efficient operations.


Primary Responsibilities:
 
  • Provide high level administrative and office support for the CECA and Operations departments, including travel coordination and meeting support.
  • Calendar scheduling and management, with a particular emphasis on supporting external strategy and work groups, requiring extensive communication and coordination efforts.
  • Assist with the development and management of CECA and Operations contracts by tracking their status, coordinating across departments, and ensuring timely routing through the appropriate review and approval processes.
  • Work closely with external consultants and vendors to collect invoices, and work with the Finance Team to ensure all department invoices are coded and processed accurately.
  • High level contact and communication with internal staff, Association membership, key stakeholders, and key consultants.
  • Provide project management and data tracking support by tracking campaign contributions, outreach lists, outcome data, etc.
  • Navigate, use, and make changes within CPCA’s Association Management Software (AMS), various member engagement platforms, and CPCA’s website.
  • Support both in-person and virtual meetings by developing and sending agendas, taking notes, sending follow-up communication, and managing virtual meeting spaces as needed.
  • Provide back-up support to other department administrative staff as needed.

Skills and Abilities Required:
 
  • Maintain calendars and schedules for multiple staff.
  • Assist with a variety of organizational administrative tasks including front desk operations.
  • Arrange and organize travel and accommodations for multiple staff.
  • Effective writing and proofing of documents and correspondence.
  • Proficiency in Microsoft Office, web-based applications and platforms, and virtual collaboration and meeting tools.
  • Work collaboratively with cross-departmental teams.
  • Demonstrates effective time management, organization, and problem-solving ability.
  • Effective interpersonal and professional skills when engaging with Association membership and Board of Directors, vendors, and partners.
  • Treat sensitive matters with confidentiality.

Additional Responsibilities:
 
  • Attend and participate in required Association meetings and events.
  • Report regularly to supervisor.
  • Occasionally travel a few times a year for conferences, trainings, or meetings by air and ground transportation.
  • Other duties as assigned.

Education and Experience:

Associate degree and two years of advanced administrative support experience required. Experience with community health centers, member-driven associations, or non-profit organizations is preferred. Knowledge of Association Management Software, SharePoint, Smartsheet, Microsoft Teams and/or Zoom is a plus. Relevant experience may be considered in lieu of degree requirement.

Compensation$59,228 - $62,712

Association Expectation:

Due to network security and hybrid work this position requires the employee to have a cell phone with a data plan and home internet service, both are reimbursed at a set rate each month. All hires are required to maintain residence in California. This is a hybrid position with employees coming into the office in downtown Sacramento.
