Purpose of Position:

Manage the daily operations of CPCA and provide a high-level of organization, communication and support to ensure and maintain a positive and efficient workplace.
 
Primary Responsibilities:

  1. Manages daily operations and facilities functions to ensure a safe and functional work environment. Ensures upkeep of building maintenance requirements, HVAC systems, and custodial needs. Serves as the point of contact for all staff inquiries and requests specific to office functions.
  2. Manages office vendor relationships and contracts and ensures vendors have appropriate access as required. Serves as the liaison to the property management company.
  3. Manages equipment and software/licensing requisitions, partners with IT contractor to ensure staff computers and workspaces are functional.
  4. Supports CPCA’s enterprise application solutions and Microsoft 365 environment by serving as a super-user on priority platforms such as SharePoint, Zoom, and Smartsheet and CPCA’s Association Management Software (AMS). Ensures consistent internal use of each platform by documenting standard operating practices and providing staff training as appropriate.
  5. Supports membership activities, member data management efforts and reporting.
  6. Ensures upkeep of all general office equipment including copiers, printers and the postage machine.
  7. Monitors and stocks office and kitchen supply inventory as needed.
  8. Supports office/administrative budget development; tracks all office supply and equipment expenditures as appropriate, analyzes variances, and initiates corrective actions.
  9. Coordinates regular and consistent internal communication channels, updates organizational dashboards and communication systems, and leads administrative team meetings to support continuity of office knowledge across the organization.
  10. Helps refine and document general office procedures as necessary. Supports operational policy development and leads policy implementation as appropriate.
  11. Opens and closes the office each day by ensuring all shared spaces are set up, clean and ready for use.
  12. Oversees mail delivery and distribution; manages front-door entry system and receives visitors and guests as needed.
  13. Prepares conference rooms for meetings/trainings and manages external room reservations.
  14. Provides light administrative support to staff as needed.

Skills and Abilities Required:
 
  1. Proficiency in common office software such as Microsoft Office, Zoom, Adobe and project management software. Association management software knowledge helpful.
  2. Project management, planning and communication skills.
  3. Ability to build relationships with colleagues and vendors, resolve conflict and foster a positive office environment.
  4. Ensures a high-level of accuracy and attention to detail in documenting, reporting and other administrative tasks.
  5. Effective writing and proofing of documents and correspondence.
  6. Demonstrates effective time management, organization and problem-solving ability.
  7. Work collaboratively with multi-departmental teams.
  8. Effective interpersonal and professional skills when engaging with staff, Association membership and Board of Directors, vendors and partners.

Additional Responsibilities:
 
  1. Attends and participates in required Association meetings.
  2. Reports regularly to supervisor.
  3. Supports staff training and cross-department coordination as needed.
  4. Participates in CPCA events and represents the Association as requested to include state and national events.
  5. Travel for state and regional meetings, training and site visits by air and ground transportation.
  6. Other duties as assigned.

Education and Experience:

Three years experience in an office coordinator or manager role required. Associate degree preferred; experience with community health centers, member-driven associations or non-profit organizations is also preferred. Relevant experience will be considered in lieu of degree requirement.

Compensation: $76,583 - $81,088
